1. Who we are

Move as One Ltd is responsible for the personal data described in this policy. We are a company registered in Scotland under number SC759031, with our registered office at 15 Ashgrove Road, Glasgow, G40 4AJ. We are registered with the Information Commissioner's Office under number ZB607593.

If you have any question about this policy or your data, email info@moveasone.co.uk.

2. The data we collect

When you contact us or fill in a form. Your name, business name, email address, phone number, website and anything you tell us in a contact form, questionnaire or next-step form, such as your role, turnover band and advertising spend.

When you book a call. The details you give when booking, and the date and outcome of the call.

When you buy from us. Your name, business details, billing email and a record of what you bought and when. Card payments are taken by Stripe. We never see or store your full card details.

When you use Pulse or another free tool. Your email address, your business website and the results the tool produces.

When we carry out paid work. With your permission we look at data inside your business accounts, such as analytics, advertising and ecommerce platforms. These can contain limited personal data about your own customers. We use it only to do the work you asked for and we act on your instructions when handling it.

When you visit this website. Technical information such as your browser, device, pages visited and how you arrived. Some of this is collected through cookies, explained in section 8.

When we email each other. Your correspondence with us and any notes we make of our calls.

3. Why we use it and our legal basis

To reply to enquiries, book calls and assess whether we are a good fit for your business. Legal basis: our legitimate interest in responding to people who contact us, or taking steps at your request before a contract.

To deliver the services you buy, including the Growth Audit, and to take payment. Legal basis: performance of our contract with you.

To keep accounting and tax records. Legal basis: legal obligation.

To follow up on a free tool or a call that did not lead to a purchase, and to send occasional relevant updates to business contacts. Legal basis: legitimate interest. Every email includes a way to opt out and we stop as soon as you ask.

To understand how our website and advertising perform. Legal basis: your consent, given through the cookie banner.

To protect our business, prevent fraud and deal with legal claims. Legal basis: legitimate interest.

We do not sell your data. We do not make decisions about you that have legal or similarly significant effects using automated processing alone.

4. Who we share it with

We share personal data only where needed to run our business, with suppliers that act on our instructions:

Stripe, for payments.

iClosed, for call booking.

Google, for email, documents and, with your consent, website analytics.

Replit, which hosts this website and stores form submissions.

Anthropic, OpenAI and Google (Gemini), whose AI tools we use to help prepare audits and reports, and to help us keep track of requests and actions in our correspondence with clients. We use their business services, under terms that do not allow them to use your data to train their models.

Staff, freelancers and subcontractors who work on your account, under a duty of confidentiality.

Meta and Google advertising platforms, only if you have given consent to marketing cookies.

Our accountants, professional advisers, and authorities where the law requires it.

5. International transfers

Some of these suppliers store or process data outside the UK, mainly in the United States. Where they do, we rely on the UK government's adequacy regulations, including the UK Extension to the EU-US Data Privacy Framework, or on the approved contract clauses issued by the Information Commissioner.

6. How long we keep it

Enquiries, bookings and free tool results that do not lead to work: 24 months from our last contact.

Invoices, payments and accounting records: 6 years after the end of the financial year they relate to, as required for tax purposes.

Records of our work for clients (what you asked us for, what we agreed and the decisions made on your account): kept indefinitely, including after we stop working together, as the history of that work. These are short summaries, not copies of your emails, and you can ask us to correct or delete them (section 7).

Data from inside your business accounts: we stop accessing it when the work ends and delete any copies we hold within 90 days, unless we are still working together. Marketing emails: until you opt out. We then keep only your address on a suppression list so we do not contact you again.

7. Your rights

You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict or object to how we use it, to take it to another provider, and to withdraw consent at any time. Email info@moveasone.co.uk and we will respond within one month.

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

8. Cookies

We use cookies that are needed for the website to work, and these are always on. With your consent, we also use analytics cookies to understand how the site is used and marketing cookies to measure and improve our advertising. You choose which of these to allow when you first visit, and you can change your choice at any time through the cookie settings link in the footer.

9. Children

Our services are for businesses. We do not knowingly collect data from anyone under 18.

10. Changes to this policy

We may update this policy from time to time. The latest version is always on this page, with the date it was last updated.
